Gift Voucher Terms and Conditions
These terms and conditions cover what is included in your session gift voucher. Our session choices are: Maternity, Newborn, Baby in the Studio, and Family.
What is included in my Gift Voucher?
Every Vanilla Images Gift Voucher (excluding Maternity) covers:
- Your session fee
- A pre-session design consultation
- Your customised in-studio photo shoot
- A social media sneak peek
- An in studio viewing and artwork design appointment
- A Product and / or Credit for Products. Your Gift Voucher will have whatever additional item/s that are included listed
Terms and Conditions
Terms and conditions for Newborn, Baby & Family sessions. (Please see separate Terms and Conditions for Maternity Sessions and Special Project sessions below).
- Our studio is a family photography studio. This means that in every session, even baby focused sessions, such as newborn, that all immediate family members (ie parents and children) are included in each session, and must attend the photoshoot.
- All parents included in the session, must also attend the viewing and design appointment, for your gift voucher to be valid (We have after hours appointments available on Wednesday to help assist work/school schedules).
- Your voucher includes one viewing appointment at no charge (with the exception of Maternity Sessions). A viewing appointment is the only way images can be selected for printing. Additional viewing appointments are charged at the rate of $150 per appointment. We reserve the right to charge for a new appointment time if people vital to the decision making process are missing from your appointment or in the event that you need to reschedule your appointment more than once or at short notice. In the event of needing to reschedule a new future date must be selected for the studio to retain your images. Images from sessions with no future booked viewing appointment date attached, will only be retained by the studio for 60 days.
- A deposit is required on the day of your viewing appointment for any purchasing choices made. Payment plans are of course available!
- All sessions must include a pre-session design consultation phone call, prior to your photoshoot.
- All booking paperwork, must be completed before your photoshoot can commence (this is a contact form and signed booking agreement, which will be delivered to you after your pre session consultation to secure your photo session date).
- Sessions are subject to availability, so if your session needs to happen within a set time period ie a newborn or maternity session or over a holiday period etc, please contact the studio to ensure availability. If the session style that you are wanting to book is fully booked, then an alternative session style will be suggested for you.
- Pets are welcome to take part in any of our sessions at no additional charge. They are family! Please note though that the studio is a baby and child focused studio so does not offer pet only sessions or sessions with couples with only fur babies and not human babies (there are plenty of pet photography studios which offer this service and are super amazing at it!).
- Grandparents are welcome to be included in the photo sessions. You are required to notify the studio that they will be attending, and there is a fee to add them in.
- Inclusion of extended family (Aunts, Uncles, Cousins), is generally not able to be accommodated as the studio is a very small space, which can fit a maximum of 6 – 7 adults. If the total number of people doesn’t exceed that amount, of course please have a chat to us about it.
- Gift Vouchers are not redeemable for cash and cannot be combined with any other offer.
- Gift vouchers are non-refundable.
- Any special offers run by the studio, cannot be used to purchase products from a prior session.
- Sessions must be booked prior to your Gift Voucher expiration date
Terms and conditions for Maternity Sessions
- Maternity Sessions are a discounted session, as they are usually only booked in conjunction to a newborn, 8 week or 100 day session.
- There is no separate viewing appointment for this session. Your images will be viewed and selected from this session virtually.
- Purchasing options for this session are Digital Collections starting at 5 – All images. Collections are digitally focused so that you can receive and use your images ahead of your baby’s arrival.
- Should you wish to have something to keep from your maternity session, you are more than welcome to choose printed items. This can be done in your baby session viewing appointment.
- In the event that you book a Maternity session with the studio and you are unable to attend your session due to baby arriving early or being required to be on bed rest for your pregnancy, your session booking fee can be transferred to an additional separate older baby session (such as first birthday). Session vouchers however are non-refundable, are not redeemable for cash and cannot be combined with any other offer.
- Your partner and any children you have are welcome and encouraged to attend your session, but sessions can also be Mum-to-be only if preferred.
- Additional relatives (such as grandparents, aunts, uncles etc) are unable to be included in Maternity sessions.
Terms and conditions for Special Project Sessions
- Special Project sessions are sometimes undertaken by the studio. These sessions might be fundraising projects, mini sessions or limited attendance sessions such as Mum & Bub Sessions. Terms and conditions for these sessions are generally different to our standard studio offerings, and are covered in any booking pages published offering these limited addition sessions.
